Sutherland Rotary Club Car Boot Sale – Selling Space Occupation Conditions
By purchasing a selling space at the Rotary Car Boot Sale, you agree to the following conditions:
1. General Conditions
- The Car Boot Sale (Event) is to be held on the 15th of March 2026 in the Flora St Council Carpark (the Site) in Sutherland.
- Entry is only permitted with a valid booking confirmation.
- Booking is non-transferable and non-refundable unless the Event is cancelled by the Rotary Site Manager.
- The Event will proceed in most weather conditions unless deemed unsafe by the Rotary Site Manager.
- Sellers will enter the Site between 7:45am and 8:45am, leave their vehicles parked and exit the Site from 1:00pm to 2:00pm.
- Buyers will have access to the Site between 9:00am and 1:00pm to reduce the risk of cars moving when the public is in the area.
2. Sellers’ Rules
- Sellers must arrive and set up within the allocated time slot. Late arrivals may forfeit their space.
- Sellers must provide evidence of public liability insurance.
- The actual Car Boot Sale operates from 9:00am to 1:00pm. Cars will be marshalled into position from 7:45am to 8:45am. It is at the Rotary Market. Manager’s discretion whether to allow late arrivals to enter the selling area. Bump-out will be from 1:00pm to 2:00pm when the Site is expected to be clear.
- Vehicles can not be moved when the event is in operation.
- Sellers must confine goods, vehicles, and displays to their allocated space.
- Sellers are responsible for removing unsold items and all rubbish from their space.
- Prohibited items include: counterfeit goods, weapons, offensive material, illegal substances, live animals, and food/drink unless pre-approved by the Rotary Site Manager.
- Sellers can either complete a standard booking which is a space to park their vehicle with an adjacent car space for selling goods, or a premium booking which is a parking space with two adjacent car spaces (strictly limited numbers).
3. Buyers’ Rules
- Buyers must not enter the Site before the advertised opening time, and must vacate the area at the closing time.
- Buyers must comply with directions from Rotary Club Event staff at all times.
4. Vehicles and Safety
- Vehicles must be driven at walking pace (5 km/h or less) within the Site and must have hazard lights flashing when moving .
- No movement of vehicles is permitted during trading hours unless otherwise directed by Rotary Club Event staff.
- Sellers and buyers attend at their own risk; the Sutherland Rotary Club accepts no liability for damage, loss, or theft.
5. Conduct
- Abusive, threatening, or anti-social behaviour will not be tolerated.
- Anyone failing to comply with these conditions may be asked to cease trading without refund, but will not be allowed to move their vehicle or leave the site before 1pm.
6. Liability
- All participants attend at their own risk.
- The Sutherland Rotary Club accepts no responsibility for personal injury, loss, or damage to property, except where required by law.
- Sellers must provide evidence of valid public liability insurance.
7. Market Closure – Inclement Conditions
The Event will operate under all weather conditions, including rain, hail, or shine, except when safety concerns require closure. The Rotary Site Manager is responsible for deciding whether to close the Event based on current and forecast weather conditions. When possible, a closure decision will be announced by 6pm on Saturday and posted on the Sutherland Rotary Club’s Facebook page.
If the Event is cancelled due to weather, sellers will receive a full refund of any fees paid to Rotary.
8. Dispute Resolution
Any disputes arising on the Event day will be initially addressed by the Rotary Site Manager, whose decision is final for that day.
Sellers may escalate their concerns to Sutherland Rotary Club President if they believe the Rotary Site Manager’s decision was unfair.
9. Incident Reporting
Incidents—including accidents, deliberate acts, theft, loss, or ‘near misses’—must be reported by sellers to the Rotary Site Manager. This includes any event resulting in or potentially resulting in injury, hospitalisation, death, property damage, or loss, especially where Council infrastructure is involved.
Prompt reporting ensures the effective operation and safety of the Event.
10. Emergencies
If an evacuation of part or all of the Site becomes necessary, this will be controlled by the Rotary Site Manager until emergency services arrive. Please obey the directions of Rotary Club Event staff who are readily identifiable by their yellow or orange high visibility vests.
